Use of Supplier Notes

Marketplace allows you to place a supplier note on the requisition that you intend to have the vendor read. However, be aware that sending an external note to a supplier that receives orders electronically will more likely delay your order or the note will not even be read.

Changing Marketplace Color Scheme
  1. Click on the “Profile” link next to your name in the upper left-hand corner.
  2. Click on the “Personal Settings” tab.
  3. Click on the “Color Theme” drop-down box and select your desired scheme.
  4. Hit “save”.
Favorites

There are several ways to save your favorite items in Marketplace. You can save favorites from the hosted or punch-out catalogs or from a non-contract supplier. However, it is strongly recommended that if you are using a punch-out catalog, you should save your favorite items in the supplier punch-out. This ensures that the pricing and description information is always accurate.

Marketplace allows you to create favorites from a punch-out catalog or a non-catalog supplier in your favorites folder, however, be cautioned that the pricing information may become outdated. Pricing information for “favorites” created from the hosted catalogs are dynamic and will update as the catalog pricing is updated.

Handling of Special Lab Quotes

We are working with the lab punch-out suppliers to provide functionality on handling special quotes electronically. We will provide additional information as it’s made available.

The following suppliers offer this functionality now:

Sigma

If you have a valid quote/pro forma invoice or lot-specific reserve from Sigma-Aldrich, you can view its information and convert it to an order through the Web site. To do this, follow these simple steps:

  1. On the Order Center, click on the “Find Quotes” link found in the My Recent Quotes box.
  2. Enter your quote/reserve number in the text box and click “Find.”
  3. Your quote/reserve information will be displayed.
    NOTE: Some quotes require conversion of the entire quote (all lines with the originally quoted quantities) into a single order while others do allow for the conversion of only selected lines and quantities over a period of time.
  4. If the field is editable, enter the quantity for each line you wish to order. When complete, click “Convert to Order.”
  5. Your Cart will now be displayed, and you can make any modifications necessary for completing your order (minor address changes, adding additional items and providing billing and payment information).
  6. When you have finished making changes, click “Submit” to submit your order and view the order confirmation page.

Fisher Scientific

Fisher has added a feature of “My Quotes” in the punch-out catalog. Here you can enter your quote number, populate a shopping cart with your special pricing, and then check out.

Now available! VWR will provide you with a quote number and access code for special quotes.

Naming Your Shopping Cart/Requisition

It is important to rename your shopping cart with a phrase or term that will assist you in later searches. A unique name for the cart, such as supplier name, lab, individual, or any combination or other unique description will work. You should decide what works best for your department shoppers and requisitioners.

Dell E-Quote Orders

It is very easy to create a Dell shopping cart using an E-Quote that was prepared by another person either in Marketplace or from the Dell Premier Page. The advantage for the requisitioner in using this method is that it saves typing by not having to create a non-catalog PR, the order is transmitted electronically instead of being faxed which speeds the order process time, and it eliminates potential typo errors which could delay the order.

You need to know the E-Quote number and the email address used by the person that created the E-Quote.

Here are the steps:

  1. Enter the Dell punch-out from Marketplace.
  2. Click on the “E-Quotes” link.
  3. Enter the email address used by the person that created the E-Quote.
  4. Click on “Retrieve E-Quote.”
  5. Select the proper E-Quote from the list.
  6. Click on the “Create Order Requisition” tab.
  7. Select the “I WILL NOT export this order….and hit “Continue.” You have a chance to review the order.
  8. Click “Submit Order Requisition”.

The cart will then come back into Marketplace and is ready to enter accounting information and submit.

If you have another order to process from a different person’s e-quote, just select “Enter a different email address” and proceed with the steps above.

Instructions for creating your purchase order for quotes created by Dell through the Dell punch-out site:

  1. Enter WUSL Marketplace and punch out to Dell Catalog.
  2. Once on the Dell site, go to the top center of the page and click on “My Premier.”
  3. Click on “Custom Links.”
  4. Click on “Non-Catalog Quotes.”
  5. Locate your quote by referencing the quote # you received from your Dell representative.
  6. Click “Add to Cart” and follow the steps to place an order.
Vendor Search for Non-Catalog Orders

The supplier search only allows one option: to search by supplier name.

When searching by supplier name, it will search the exact text entered from the start of the name and provide supplier selections as you type the name.

If you receive multiple results, you may need to verify the supplier’s address. Then click on “supplier search” and enter the name to view the supplier addresses.

Using Mac/Safari Browser
  1. Select “Preferences…” from the Safari menu

  3. On the Security page, change “Accept cookies” to “Always”:

Combing Carts or PR’s

As a Shopper or Requisitioner, you can combine carts or PR’s before submitting them for approvals.

As the Requisitioner:

  1. Assign all the PR’s to you.
  2. Click on “View” for the PR you wish to combine with another.
  3. Click on the items you wish to combine.
  4. Click on the drop-down box and select “Add to draft cart or pending PO/PR.”
  5. Locate and select the PR you want to combine.
  6. Click “Add.”
  7. Click “close.”
  8. Those items have now been added to the new cart. It is important to then “reject” the original PR so it is no accidentally sent as a PO. It is equally important to indicate the new PR number in the “reason” box of the PR you are rejecting.

As the “Shopper,” you will first work from your “draft cart” list. It helps to make note of the carts you wish to combine, especially if you have not first named the carts.

  1. Click on the first cart you wish to combine.
  2. Click on the items you wish to combine.
  3. Click on the drop-down box and select “Add to draft cart or pending PO/PR.”
  4. Locate and select the draft cart you want to combine.
  5. Click “Add.”
  6. Click “Close.”
  7. Those items have now been added. You can delete the draft cart that is no longer needed.
IE 8 Security Warning Message

Using Internet Explorer 8.0 you may receive the following Security Warning message when accessing a Marketplace Punch-out Catalog (note: the message reads differently in earlier IE versions):

You should answer “No”, but to stop this message from appearing at all:

  1. Go to Tools->Internet Options->Security.
  2. Select the ‘Security’ tab.
  3. Click the ‘Custom Level’ button.
  4. In the ‘Miscellaneous’ section change “Display mixed content” to Enable.
Entering Freight and Handling Charges

As of April 1, 2012, freight and handling charges can be entered on all orders entered in Marketplace and should no longer be added as a separate line item in the non-catalog orders. These charges are defined as:

Freight charges – used for transportation charges

Handling – other incidental charges

These charges can be added to the entire PO or to a single item. To use this option, click on the “Shipping and Handling Charges” tab located at the top of the Draft Requisition page.

The system will display the items ordered under the Supplier/Line Items Details section.

Follow these steps to add freight or handling charges to the PO.

  1. Click on the Edit Shipping & Handling charges for this order.
  2. Use the drop-down box for the appropriate field and select the “Override” option.
  3. Enter the amount to be charged to either the shipping or handling field.
  4. Click “Save.” The system will display the amount entered in the Shipping and Handling section of the Draft Requisition
